Privacy policy

This page explains what Opus Automations collects through opusautomations.com and in our work, why, and what you can do about it. Questions go to team@opusautomations.com.

The short version

  • No analytics or ad trackers on this site. We save only a few necessary items in your browser, listed in our cookie policy.
  • What you send us through the contact form or a job application is used to reply to you or to consider you for the role.
  • We never sell your information or share it for advertising.
  • Email us and we'll delete what we hold about you.

Who we are

Opus Automations is a business registered with the DTI (business name no. 8297721) and the BIR in the Philippines, run by Tony Herrera from Dauin, Negros Oriental. We decide how the information described here is used.

Visiting this site

We don't use analytics, advertising or tracking tools. We save a few necessary items in your browser: your light or dark choice, your cookie choice and, if you use the job application chat, a chat ID. They are listed in our cookie policy, where you can also change your choice. Two things to know:

  • Our fonts load from Google Fonts, so your browser connects to Google, which sees your IP address. See the Google Privacy Policy.
  • Our hosting provider, Railway, records basic technical details of each request: your IP address, your browser type, the page you asked for and the time. We use these logs only to keep the site running and secure.

The contact form

When you send our contact form, we receive your name, email address, company, business stage, the hours your team spends on manual work and your message. Our automation server (n8n, hosted on Railway) saves them to a private Google Sheet, emails them to Tony and sends you an automatic reply from tony@opusautomations.com through Zoho Mail. We use these details only to reply to you and to follow up on what you asked about.

Booking a call

Our “Book a call” links go to Calendly. When you book, Calendly collects your details for us under its own privacy notice, and we use them to hold the call.

Applying for a job

When a role is open, you apply by chatting with Nico, our AI hiring assistant, on the job's page, and you can attach your CV as a PDF. We collect what you write in the chat and your CV.

  • Nico is an AI system we run. To write its replies and to summarise and score your application, your messages and CV are processed by our AI provider, Anthropic.
  • Your chat and CV are stored on our screening server (hosted on Railway), on our own computers and in our Google Workspace, and a summary is sent to Tony on Telegram.
  • Your browser keeps a random ID for the chat in session storage, so refreshing the page doesn't lose your conversation. It's cleared when you close the tab.
  • Nico only scores and recommends. Tony reviews the applications and makes every hiring decision.

We use application details only to consider you for roles at Opus Automations.

Paying us

Payments go through our payment providers, such as PayMongo for payments in the Philippines, and Wise or bank transfer for international clients. They handle your card and account details; we never see or store your full card number. We keep invoices and payment records for as long as Philippine tax law requires.

Client work

When we build or run systems for a client, we may handle that client's business data and their customers' data on the client's instructions. That's covered by our agreement with the client, not by this page.

Who else sees your information

Only the service providers that run things for us, and only so they can provide that service: Railway (hosting and our automation server), Google (Workspace and Fonts), Zoho (email), Calendly (bookings), Anthropic (AI for job applications), Telegram (team alerts), and PayMongo and Wise (payments). Some of them store data outside the Philippines, for example in the United States.

We don't sell or rent personal information, and we don't share it for advertising. We only disclose it if the law requires us to.

Keeping it safe

Only the people on our team who need your information can see it, and we store it with established providers. No system is perfectly secure, so if a breach affects your information, we'll tell you and the National Privacy Commission as the law requires.

How long we keep it

  • Contact form and booking details: while we're talking about your project, and afterwards as a record, unless you ask us to delete them sooner.
  • Job applications: while we're hiring for the role, and for a while after in case another role suits you, unless you ask us to delete them sooner.
  • Payment records: as long as Philippine tax law requires.

Deleting your data

Email team@opusautomations.com with the subject “Delete my data” and tell us the email address you used. We'll delete it within 30 days and confirm by email, except records the law requires us to keep, like invoices.

Your rights

Under the Philippine Data Privacy Act of 2012, you can ask what personal information we hold about you, have it corrected or deleted, and object to how it's used. Email us to do any of these. If you're not happy with our answer, you can complain to the National Privacy Commission.

Changes to this policy

If this policy changes, we'll update this page and the date at the top.
